Venue security planning: what to agree before an event

Start with the venue, audience and event schedule, then agree responsibilities, access arrangements, communication and escalation before guests arrive.

Describe the event before choosing the team

A useful brief describes the venue layout, expected attendance, arrival times, programme and departure pattern. Include the organiser, venue representative and key suppliers in the discussion. A seated conference and a standing concert create different demands even when the ticket count is similar.

Review access and crowd movement

Walk through the attendee journey from arrival to departure. Identify where queues may overlap with vehicle movements, deliveries or guest reception. Record who manages each access point and how staff will respond when conditions change. HSE's crowd management guidance recommends clear responsibilities, risk assessment, crowd controls and monitoring.

Agree who makes operational decisions

Document the contact for the organiser, venue and security team. Agree who can change an access arrangement, escalate a concern or pause an activity. Give supervisors a clear way to contact the decision maker; a list of names is less useful when nobody knows which person is responsible for the issue.

Turn the plan into a briefing

Before the event, check that each team understands its assigned position, supervisor, working hours and handover. Brief changes to the programme and venue arrangements together. Invite staff to raise gaps while there is time to resolve them. Keep the agreed plan available to those who need it during the event.

What to send with your enquiry

Send the event date, venue, approximate attendance, programme and the roles you expect a provider to cover. Explain whether you need security planning, on-site supervision, staffing or a combination. Metaforce's event security service covers risk planning, access control, monitoring and response coordination; the engagement should define the required scope.

This is a planning overview. Venue-specific safety arrangements should be developed with competent professionals and the relevant local authorities.
